Now Hiring: Administrative Assistant

POSITION DESCRIPTION: Administrative Assistant
Reports to: Executive Director (ED) Hourly, 20 hours per week (M-F 8-12), Non- Exempt, $20-22 per hour based on experience ($20,800 - $22,880).

Due to growing organizational needs, Fergus Falls Area Habitat for Humanity (FFAHFH), an affiliate of Habitat for Humanity International, is hiring a 20 hour per week Administrative Assistant. The person in this position will provide general administrative support for the Executive Director, the Board, and other staff members and committees.

Main areas of responsibility include:
Office Administration:
 Receptionist duties. Serves as first line of support for all visitors to FFAHFH office. Greets visitors, answers, directs, or redirects questions as needed.
 Routes incoming mail and email, and other office information.
 Field inquiries from prospective homeowners.
 Inputs all donations into Little Green Light and sends donation acknowledgment letters and tax receipts
 Organize and maintain files and records – paper and digital
 Manage office equipment and supplies
 Conduct business errands
 Check P.O. Box weekly
 Uploads receipts to Hubdoc daily
 Maintains the office space
 Prepare reports
 Keeps Build budgets updated each week
Fiscal Safeguards:
 Assists Executive Director with bank deposits, treasury management, and bookkeeping duties.
 Coordinate second signers of checks (Board officers) as needed.
 Assist the ED with cash flow management and all treasury functions following our Segregation of Financial duties process.
 All checking and credit card reconciliation
 Collecting documents in preparation of our annual financial audit.
Board of Directors and Committee Support:
 Preparation of monthly Board meeting packet
 Maintenance of Board records and policies
 Set up and coordinate meetings as assigned.
 Work with committee chairs to prepare and send agendas and meeting reminders
 Attend Board and committee meetings and record and distribute meeting minutes
 Attend Staff meetings and take Minutes
Executive Director and Staff Support:
 Drafting and sending of routine correspondence to homeowners and stakeholders.
 Assist with preparation and transmission of Affiliate Statistical Report (ASR) quarterly to Habitat for Humanity International (HFHI) and other Good Standing documents.
 Collecting required insurance documentation from all subcontractors.
 Coordinating Gifts-in-Kind orders through Habitat for Humanity International.
 Assisting in the preparation of home closing documents including construction lien waivers, and leading communications with our home closing attorney and CPA.
 Become Qualified Loan Origination qualified.
 Coordinate FFA Habitat Scholarship program
 Prepare and coordinate the mailing of two yearly newsletters
 All other duties as staff support needs arise.
 Assist with Build Sponsorship program
Skills and Traits Needed:
 Associate degree and/or two years of experience
 Basic bookkeeping and financial management skills.
 Strong attention to detail.
 Working knowledge of Microsoft Word, PowerPoint, Excel, Outlook, and Publisher.
 Knowledge of or ability to learn social media platforms
 Ability to learn Little Green Light (donor management software)
 Strong verbal communication skills.
 Positive, professional attitude.
 Appreciation and understanding of the Habitat for Humanity mission.
 Empathy for those with substantial shelter needs in our community.
